About Form W-2
Who fills it in
Every employer in a trade or business that pays an employee for services — including noncash pay — must file a Form W-2, Wage and Tax Statement, for each employee.
Where it goes
The employer furnishes copies to the employee and files Copy A with the Social Security Administration, together with Form W-3.
When
For pay in 2026, Forms W-2 are due to employees and to the Social Security Administration by February 1, 2027 (January 31 falls on a Sunday).
Watch out for
- The red Copy A on the IRS website is for information only; a Copy A printed from that PDF is not scannable. File electronically with the SSA or use official printed forms.
