How to compress a PDF without losing quality

01What makes a PDF so large

Text is cheap. A hundred pages of plain text usually take less space than a single photograph. When a PDF is heavy, the reason is nearly always one of three things: scanned pages, which are really one large image per page; photos placed at far higher resolution than the page needs; or fonts embedded in full rather than just the characters the document uses.

That matters, because it tells you where compression can help. Recompressing images is where the savings are. Squeezing text further gains almost nothing and risks making it blurry, which is why a good compressor leaves the text layer alone.

02How to compress a PDF, step by step

The whole job takes under a minute for most documents, and the file is never uploaded to do it.

2. 2Type the size you are aiming for. Compression lowers image quality first and only scales images down if quality alone is not enough to reach the target.

03Choosing a sensible target size

Pick the target from where the file is going, not from a feeling that smaller is better. Many email services cap attachments somewhere around 20 to 25 megabytes including encoding overhead, so aiming a little under that avoids a bounce. Government portals and job application forms often publish their own limits on the upload page itself; use that number.

For a document that will be read on screen, image quality can drop a surprising amount before anyone notices. For something that will be printed, especially photos or fine line drawings, leave more room.

04When compression is not enough

Some files resist: a 300-page scan at high resolution is heavy no matter how carefully each image is compressed. In that case, change the shape of the problem rather than pushing quality lower.

• Split by size breaks the document into parts that each stay under a limit you choose, which is often what an upload form really needs.
• Grayscale removes colour from scanned text pages, which can cut their size substantially when colour carries no information.
• Remove pages you do not need to send, such as blank backs of scanned sheets or appendices the recipient already has.
• Optimize for web restructures the file so the first page appears quickly when it is opened online, which helps large documents feel lighter even when the size stays the same.

05Is it safe to compress confidential documents?

Most online compressors work by uploading your file to their servers, processing it there and letting you download the result. For a contract, a medical record or a bank statement, that means a copy of the document sits on someone else’s infrastructure, at least for a while.
