What an offer letter is for

An offer letter records the essentials the candidate is saying yes to: the role, the start date, the pay and the main conditions. It is usually shorter than the written terms of employment that follow, and it should never contradict them, which is why the letter states that those terms take priority.

Getting the details right

Candidates read the numbers first. Make them unambiguous.

  • Write pay with the currency, the period and how often it is paid, for example "USD 96,000 per year, paid monthly".
  • List conditions the offer depends on, such as references or proof of the right to work, so nothing comes as a surprise later.
  • Give a reasonable reply date; a week is common.
  • Employment law varies widely between countries and states, including rules on probation, notice and what an offer must contain. Some places require written terms by the first day of work, and in the US offer letters often also state whether employment is at will. Check the requirements where the job is based before sending.
